Let me ask you a question:
When was the last time you checked your employees’ qualifications, licences and training records?
For many businesses, these documents are collected when someone starts, saved in a folder and then forgotten about. It’s understandable. You are busy running a business, supporting your team and looking after your customers.
But what happens when a licence expires? Or an employee takes on a new responsibility they haven’t been trained for? What if you need to check a qualification and don’t know where to start?
These are the things we don’t always think about until there’s a reason to.

A timely reminder from WorkSafe
WorkSafe Victoria recently released a safety alert about verifying employee qualifications, following reports of alleged fraudulent qualification certificates.
The alert is a reminder that having a certificate on file is only one part of the picture. Employers also need to consider whether an employee has the knowledge, skills, experience, instruction and supervision to perform their work safely.
Think about someone who has completed training in traffic management. That training is valuable, but have they also been shown how your traffic management plan works? Do they understand how vehicles and people move around your workplace?
So, where does HR come in?
This is where HR and safety work together.
The foundations often start before someone joins your team: being clear about what the role requires, asking the right questions during recruitment and checking the relevant documents.
They continue through onboarding, workplace training, supervision and regular reviews, especially when a person’s role or the workplace changes.
It is about making sure your people have what they need to do their jobs safely and confidently.
How prepared is your business?
Here are a few questions worth asking:
- Do we know which roles require particular qualifications, licences or training?
- Do we have a process for checking documents and following up any concerns?
- Do we know when licences or credentials need to be renewed?
- Have our employees received training specific to our workplace?
- Could we easily find our records if we needed them?
If you’re thinking, “I’m not sure,” that’s okay. It’s a good place to start.
